Privacy Policy

Last updated: 30 August 2026

VisaEase ("VisaEase", "we", "us", "our") respects your privacy and is committed to protecting the personal information you share with us in the course of preparing your visa application. This policy explains what we collect, why, and how it is handled, in line with the Protection of Personal Information Act, 2013 (POPIA).

1. Information We Collect

To prepare a DS-160 form, coordinate an appointment, or curate a Schengen application file, we may collect personal details including your full name, contact information, passport data, travel history, employment or study details, and financial documentation such as bank statements. We only request information that is directly relevant to the visa service you've engaged us for.

2. How We Use Your Information

  • To complete and file the relevant visa application form(s) on your behalf
  • To communicate with you about your application status and required documents
  • To coordinate appointment bookings on official embassy or consulate portals
  • To respond to enquiries submitted through our website or by phone/email

3. How We Protect Your Information

Documents and personal information you share with us are used solely for the purpose of your application and are not sold, rented, or used for unrelated marketing. Access is limited to the team members directly assisting with your case.

4. Third Parties

We do not share your personal information with third parties except where necessary to complete your application — for example, submitting your DS-160 to the U.S. Department of State's official system, or your documents to the relevant embassy or consulate. We are not affiliated with any government agency, and no government body has authorised or endorsed VisaEase.

5. Data Retention

We retain application-related documents only as long as reasonably necessary to complete your service and to respond to any follow-up queries related to that application, after which records are securely deleted or archived in line with applicable record-keeping obligations.

6. Your Rights

Under POPIA, you have the right to request access to, correction of, or deletion of your personal information held by us, subject to any legal obligations that require us to retain certain records. To exercise these rights, contact us at info@visaease.co.za.

7. Cookies

Our website may use minimal, functional cookies to support basic site operation. We do not use tracking cookies for third-party advertising.

8. Changes To This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices or legal requirements. The date at the top of this page reflects the most recent update.
